HOW TO GET RID OF – USER NAME ALREADY IN USE IN QUICKBOOKS?


For QuickBooks multi-user mode, each user can only log in once, however, there may be recurring prompts while a user attempts to log in within multi-user mode. Any attempt to log in with a particular username fails with errors such as – "The attempt to log in with the username "XXXX" failed”,  “Error 404: File Not Found”, “The web page cannot be found, “QBO is currently unavailable, please try again later”.  It basically suggests that the user is already logged into the company file and if possible try to login with a different username.

REASONS FOR “USER ALREADY LOGGED IN ERROR”

    While logging in remotely, the accountant did not log out from his previous session
    The user is already logged into the company files from a different workstation or location using the same credentials

HOW TO RESOLVE THE “USER ALREADY LOGGED IN ERROR”

To override this error there may be a series of steps of different intensity that one needs to follow –


Step 1: Begin with this simple step first – Login afresh by ending all previous sessions

·         Ctrl + Alt + Delete to open the Task Manager
·         Go to Process tab
·         Spot all processes that begin with “QB” then Right Click & End all
·         Attempt to log in again

Still no success? Proceed to step 2

Step 2: Restart the server

·         Restart the server that is hosting the company’s data files
·         Open QuickBooks again and try logging back
·         If unsuccessful, attempt logging in as a different user

Step 3: Contact Administrator for the following
i.)                  Resetting the password
  It’s easy for the Administrator to reset the password for any user.

ii.)          For a forced log-off.
Administrator can log-in and can force log off the affected user by opting the 'Switch to Single User' mode.
·         Go to Control Panel and then Launch Accounts.
·         Check for Product Tab and then Log-off Remote Sessions.
·         Log-off User whose sessions are currently showing as logged in.
But in case the affected user is the Admin itself, the above options won’t come handy

Step 4: Restore an earlier version of QuickBooks.
-Restore a backup made of the earlier QuickBooks version before the issue occurred and reenter the data.
